Today I sat-in with the client for the majority of the work day in order to fully understand the issues that they are having and to develop a needs assessment.
It seems that their main issue is in organizing their orders so that nothing gets left out, but doing it in a way that is efficient and cost-effective. There are only two employees at the trophy store and it is a fairly new business so there are definitely a lot of options as to what I can do to help.
This is what the boss, Sharon, told me is what she is looking for. "A system that allows me to proof items before they are run to help cut costs of mistakes, time and material. Also, I want to more efficiently run the art part of the business."
Here are some key points that I noticed that should be addressed.
1) An order comes in from someone in person and sometimes the artwork will get e-mailed later to Sharon and she has to make sure that the engraver (Carrie) gets the artwork and puts it with the rest of the order form.
2) There are many orders that come in and all of the orders are kept in various locations making hard to keep track of everything
3) Electronically, the files are getting saved in too many different locations.
4) Sometimes a customer will want something to be changed, but because there are so many customers it is hard to make sure that the engraver (Carrie) is aware of the changes.
5) Carrie only works from 10:00 A.M. until 4:30 P.M. so changes will happen to orders while she is not here and Sharon will forget to verbally tell her about the changes.
From that list I will hopefully be able to create a list of needs for Sharon so that her store can be more efficient and organized.
